Recruiting participants for an event seems easy

An online recruitment campaign or ‘a round of phone calls/emails’ by Sales/Account Management is no guarantee for sufficient participants.

In our daily practice we often get Recruiting participants last-minute phone calls from companies that cannot fill their event. Even from renowned companies. So free up sufficient resources for this or outsource it.

Prepare Recruiting participants

Prepare the session well. If you or your colleagues are going to speak during the webinar, practice a few times with each other beforehand. What exactly are you going to say and how? Who says what? Who handles the questions that come in via the chat and at what time? How do you pass these on to the speaker? How do you switch the image from the presenter to the presentation? Etc. Practice with this, because malfunctioning technology does not come across as professional.

For a Digital Round Table, you can get by with MS Teams or Zoom in terms of technology. For a webinar, you would rather choose webinar software such as Webinargeek or GoToWebinar , because of the functionalities. Think of the well-known polls, but also of break-out sessions where you temporarily place the participants in subgroups together in virtual rooms.

Directing

During the session itself, leave nothing to chance. Where necessary, take control to make everything run as smoothly as possible:

  • Start with an explanation of the do’s & don’ts of the session. Think about camera on or off, muting everyone who is not speaking and explaining the chatbox to ask questions.
  • Start with a strong opening or kick-off, so that the energy is immediately high.
  • Ensure good interaction , involve the participants so that attention does not wane. In a webinar you can do this by asking questions, for example by means of a poll. Or by letting your audience pass on the answers via the chat. You can then read these out or discuss them in plenary. In a Digital Round Table the role of the moderator is essential in this.
  • Ask targeted questions , entice people to speak or share via chat.
  • If you are using a presentation, make sure that the flow is fast . Otherwise, the participants will be staring at the same slide for minutes.
  • Maintain a tight schedule so that all promised topics can actually be covered.
  • Make a recording of the event. In the 12 tips for controlling your monthly cash flow case of a webinar, both the participants and the people who missed it have the opportunity to watch it again. In the case of a Digital Round Table, a recording is very useful for any reporting of the session. With a report in hand, you already have two concrete contact moments in hand afterwards: namely sending the report and then calling back to norway phone number library ask what the participants thought of the report.

Follow up Recruiting participants

Follow-up is also important for your own event. Make sure you can continue talking to the participants 1-on-1. Or at least have permission to stay in touch with them. Strike while the iron is hot. The contact is now warm; this is the ultimate opportunity to continue talking to belgium numbers your target list.

Tip: Have someone take notes during the session that you can use later. What questions do the group or individual participants have?
